The annual general meeting of VIKA will occur on Sunday, February 21, 2010 at 1:00 PM at the Cowichan Valley Inn.

NOTICE OF MEETING

The annual general meeting will be held at the Cowichan Valley Inn at 1:00 pm on Sunday, February 21, 2010. Membership annual dues for the 2010 season will be due at the meeting. 2009 members will be eligible to vote at the meeting. The meeting will be adjourned if there is not a quorum of 11 members present so please try to attend if at all possible.


AGENDA

1. The meeting will come to order at 1:00 pm

2. The minutes of the previous AGM will be circulated.

3. Adoption of financial statements

4. New Business:

- president’s report

- determination of annual dues and membership fees for the 2010 season. The following motion will be put forward.
“The annual dues and membership fees will be set at $50 for singles and $100 for families of 3 or more residing at the same address.

- determination of spending limit for 2009 executive. The following motion will be put forward.
“Pursuant to Part 9, article 42 of the constitution, a spending limit of $1,500 will be imposed on the 2010 directors without the requirement for a resolution passed by a majority of members at a general meeting.”

- Due to the substantial commitment that will be required to build the new track, the Club will be relying on outside financing and loans from members. To give added security to members providing loans to the Club, it is proposed that a committee be formed consisting of members who have loaned money to the Club or signed bank guarantees and that this committee be given a veto over Club programs or expenditures that may jeopardize the repayment of all loans. This committee will nominate one of their members who will sit on the executive until all loans are repaid. This will be come into effect when the track is opened and will cease when all loans are repaid.
